The main activities involved in this phase include finalizing project locations, infrastructure requirements and key personnel, drawing up meeting schedules, formulating training plans.
  • Key team members are identified and deployed. Responsibilities and roles of the MIND team members are defined.
  • Communication plan is prepared to ensure effective communication with the client. Roles and responsibilities of the client teams are also documented and agreed on.
  • Various teams/groups that interact, maintain, support the application are identified along with their key contacts
  • Overall project schedule is established along with monitoring and reporting system
  • Information is gathered on the following broad areas:
  • General Background Information: Client’s business background, application’s context, current usage and future plans, business objective for outsourcing application maintenance, application maintenance portfolio
  • Technical Information: operating systems, application architecture, languages used, databases, operating/deployment environment, application domain knowledge, functional requirements, communication protocol
  • Tool and Equipment Usage: Hardware, software used for deployment, testing, configuration management, workflow, project management
  • Metrics: Current metrics used, desired metrics
  • Expected Maintenance Goals: Desired state covering Corrective, Adaptive, Performance and Perfective maintenance goals
  • Training and Other Resources: Documentation, training resources available for knowledge acquisition
  • Current Maintenance Resources
  • Internal: Key Contacts and their roles, responsibilities, availability
  • Third Party: Roles, responsibilities, availability, key contacts, related documentation
  • Planning customer/supplier relations - A schedule of meetings is produced, and authorized representatives and people in charge from both parties to the contract are appointed. A steering committee is formed to coordinate and monitor the maintenance project. A schedule of joint meetings (MIND and Client) with key contacts of various third party teams/ groups involved in the support and maintenance of the application is prepared.
  • Project intranet is setup to manage project documentation, access Project Management System and Project Issue Management System, publish meeting calendars, memos and other project related information.
  • Baseline service-level metrics are defined and approved by the Steering Committee
