eMProDocs is a comprehensive and easy to use Document Management Solution for capturing, archiving, indexing and retrieving documents. The solution facilitates scanning, digitization and categorization of the documents for easy storage and faster retrieval.
- › Documents Scanning/ Digitization
Scanning facilities is provided as part of the solution for putting papers to electronic format and then store them into the system. The default scanning resolution is 200 DPI black & white, which is configurable.
- › Documents Indexing
The documents are stored using proper indexing mechanism to facilitate faster search.
- › Image Enhancement
To improve the image of the scanned document, the solution provides built-in Document Quality Analyzer (DQA) for automatic correction of parameters like improper resolution, skew, noise reduction, border removal, blank page removal etc.
- › Document Maintenance
Documents are stored in a uniform and central repository with desired user rights management. The solution provides the following for easy maintenance of the documents:- › Ability to Store images as well as office documents
- › Ability to Insert Before/ After/ Top/ Bottom features in a scanned documents
- › Ability to Rename, Move and Merge folders
- › Document Retention and Disposal
- › Document Metadata
The solution provides unique feature to stores additional information to describe documents and making them easier to classify & retrieve. These are user defined metadata tags and can be defined for each folder uniquely.
- › Document Retention & Disposal Policy
The document retention can be applied separately on each folder containing documents. The policy inactivates the document after a specified retention period and permanently deletes them after a specified disposal period.
- › Version Management
The original document can be kept intact during various Check In / Check Out operations as a new version of the same document gets created with the latest document shown by default during search.
- › Document Publish Approval
Publish Approval provides a user with option to approve the documents that are pending for his approval. Only then those documents can be viewed during search.
- › Document Cross Referencing
Related documents can be linked. Such documents will show up during search to show the entire chain.
- › Document Retrieval
While searching, document can be quickly identified and located with the help of proper indexing mechanism. Documents can be searched based on user defined metadata as well as on default metadata.
- › Document Encryption
The solution provides capabilities to encrypt document while storing it on a Document Server. This protects the information stored in the solution from any un-authorized access.
- › Rights Management and Security
Security can be achieved by implementing multi-level access controls and user privileges, apart from secured User ID and Password which is stored in encrypted format to prevent unauthorized access. The access on documents can be controlled through multiple levels of access rights like Read, Edit, Print, etc and by defining Workstation Privileges in the solution.
- › Administration
A single point of access for administering all documents repository, users and their privileges – will help reduce operational costs and improve manageability. The solution provides adequate administrative controls and security features with ability to set access controls at multiple levels. The solution will empower administrator to manage audit trails and generating reports.
eMProDocs solution is highly scalable to meet the requirements of the documents growth in future. The developed architecture can scale from a single department to an entire office and even beyond.
